A Simple Guide to Email

Have you ever opened your email inbox on your phone and thought, “Where did that email go? It was here yesterday!” Don’t panic just yet. Most of the time, your email hasn’t disappeared at all.

Think of your email account like your house.

Your email address is your home’s address. Every message sent to you is delivered to that house, whether you’re checking your mail from your phone, your computer, or a tablet.

Now imagine you have several different doors into your house. One door is your computer. Another is your phone. Another might be an iPad. They’re all opening the same house.

Sometimes, though, you walk in through a different door and end up in a different room.

That’s exactly what happens with email apps.

Most email programs let you look at different folders like:

  • Inbox: This is the main room. Most new emails arrive here.
  • Sent: This is where you can find emails you have sent to other people.
  • Drafts: Started writing an email but didn’t send it? It may be saved here so you can finish it later.
  • Archive: Archiving an email removes it from your Inbox without deleting it. Think of this like putting an important piece of mail into a filing cabinet. You still have it—you just aren’t leaving it out on the counter.
  • Trash: When you delete an email, it usually goes into Trash first. It may stay there for a period of time before it is permanently deleted.
  • Spam or Junk: Your email provider tries to recognize unwanted or suspicious messages and puts them here automatically. Sometimes it gets it wrong, so if you’re expecting an email that never arrived, this is a good place to check.
  • All Mail: Some email services give you an All Mail section. This lets you see messages from several different parts of your mailbox in one place.

There’s one more thing that can cause confusion: filters.

A filter changes what you’re looking at without necessarily moving or deleting anything.

For example, you might accidentally tell your phone to show you only your unread emails. Suddenly, hundreds of messages seem to have disappeared.

They haven’t.

Your phone is simply saying, “Okay, I’ll only show you the mail you haven’t read yet.”

Turn that filter off, and there they are again.

So if you know you saw an email yesterday and can’t find it today, don’t immediately assume it’s gone. Check what folder or mailbox you’re in, look for a filter that may be turned on, and try searching for the sender’s name.

Your email account lives online with your email provider (like Gmail, Outlook, or Yahoo). Your phone and computer simply connect to that account to display your messages. Unless an email has been permanently deleted, it’s usually still there—you just may be looking in a different folder or viewing it with different settings.

Pull Up a Chair

The next time someone says, “My email disappeared!” remember the house analogy. The mail still goes to the same address—you may just be standing at a different door.
